AI support for email login problems

How Panelbot diagnoses "Outlook keeps asking for my password" by checking the mailbox, quota, sign-in failures, and whether a customer's IP got blocked.

Email account and login issues

“Outlook keeps asking for my password” is one of the most common tickets in hosting, and one of the most misleading. The customer is certain their password is right, the mail app disagrees, and nothing on either side explains why. The cause is usually one of a small number of things, and most of them have nothing to do with the password being wrong. Panelbot checks those causes quickly and either clears the block or tells your team exactly what it found.

What your customers report

Login complaints show up in a handful of recognisable forms:

  • “Outlook keeps asking for my password” or “my phone will not verify the account.”
  • “I cannot log into webmail, it says the login is invalid.”
  • “My email password stopped working this morning.”
  • “IMAP or POP authentication keeps failing.”
  • “It was working earlier and now nothing signs in.”

The customer’s own view is almost always “the password is wrong,” even when it is not. Panelbot works from the mailbox and the connection rather than taking that assumption at face value.

How Panelbot looks into it

Panelbot runs read-only checks that describe the mailbox and the sign-in attempts without changing anything. It is confirming, in plain terms:

  • Whether the mailbox actually exists on the account, and under the exact address the customer gave. A misspelled address, an address on a different domain, or a mailbox that was removed all look identical to “wrong password” from the customer’s side.
  • Whether the mailbox is over its storage quota, which can quietly break sending and receiving.
  • Whether recent sign-in attempts are failing, and in a pattern that looks like a saved wrong password being retried over and over.
  • Whether the customer’s own connection has been blocked by the server’s protective measures. Repeated failed logins, often from an old password still saved on a phone or a second device, can get an address shut out automatically. To the customer this feels exactly like the password no longer working.

These checks give Panelbot the evidence to name the real cause, which is frequently a block triggered by a stale saved password rather than a password that is genuinely wrong.

What it can fix, and what needs your approval

When the cause is a customer connection that got blocked by too many failed logins, and you have enabled action-taking for your account, Panelbot can offer to:

  • Identify what triggered the block, so the fix addresses the actual source.
  • Clear the block so the customer can connect again.

Crucially, Panelbot pairs the unblock with guidance to correct the stored password on every device, because lifting the block while a device keeps retrying the old saved password only sets up the identical lockout again within the hour. This is presented as a step to confirm, not an action taken silently, and it is scoped to the specific customer connection involved. If action-taking is off for your account, Panelbot still pins down the block and walks through the fix, leaving your team to apply the change.

Where the mailbox simply does not exist as typed, there is nothing to unblock. Panelbot explains that the address may be misspelled, on another domain, or removed, and helps the customer get to the right one.

When a human takes over

Some login problems are symptoms of something Panelbot should not resolve on its own, and it escalates rather than guess. It brings in your team when, for example:

  • The evidence suggests the mailbox is compromised or is being used to send spam, where the right move is to secure the account, not reopen access.
  • A mailbox needs to be created, restored, or reconfigured, which is a change your staff should own.
  • The block or failure pattern does not match a known, safe-to-clear cause.

When Panelbot escalates one of these, it lets the customer know a real person on your team is stepping in, and it hands that colleague the context it has already assembled so nothing is re-investigated. It clears the everyday lockouts that are genuinely safe to clear. Anything that smells like a security concern is a human’s call, and that is on purpose.
