Usage, quotas, and credits
How Panelbot meters AI conversations, when quotas reset, and how prepaid credits and account credit apply automatically and never expire on your plan.
How usage works
Panelbot bills on a simple idea: your plan includes a set amount of AI activity each billing period, and you can always see where you stand. There is no unpredictable invoice waiting at the end of the month. The Usage page in the app shows your current numbers as they change.
Three things are metered against your plan.
- AI conversations. Each plan includes a number of AI conversations per billing period. A conversation is one customer chat the AI handles, from the first message through to a resolution or a hand-off to your team. This is the main thing your plan sizes around.
- AI processing. Behind each conversation the AI does some work reading, understanding, and replying. Your plan includes plenty of headroom for this, and the Usage page shows it for transparency. In normal use you will size your plan by conversations, not by this figure.
- Servers. How many cPanel and DirectAdmin servers you have connected. On current plans this is unlimited, so it is shown for transparency rather than as a cap you are likely to hit.
When quotas reset
Your conversation quota resets every month, counted from your billing date rather than the calendar month. If you pay monthly, it resets on the same day each month, your renewal date. If you pay yearly, it still resets monthly: each month on the same day of the month your yearly period started, not once a year. On the Free plan, with no billing date, it resets each month on the day of the month you signed up. The Usage page always states the exact period you are in and the date your quota next resets, so you never have to guess.
Resetting means your included conversation count refills to the full plan amount. It does not roll unused conversations forward. Anything extra you have bought on top of the plan behaves differently, which is the next section.
What happens when you run out
Reaching your included conversation limit does not break anything or cut your customers off unexpectedly. You have two ways to keep going:
- Buy extra chats. These are one-time top-up packs you add on top of your plan. They are useful for a busy month or a one-off spike without moving to a bigger plan permanently.
- Move up a plan. If you are consistently near your limit, a larger plan is usually the better value. Upgrades take effect immediately. See Compare Panelbot plans.
You can buy extra chats from the plans page in the app whenever you need them, on any paid plan. Extra chats are not sold on the Free plan: there, you wait for the monthly reset or move to a paid plan.
How credits behave
Credits are the part worth reading closely, because the whole point is that you do not lose what you pay for.
Prepaid extra chats never expire. When you buy a top-up pack, those chats sit in your balance until they are needed. Panelbot only draws on them automatically once your monthly plan quota is spent, so you always use what you have paid for as part of your plan first. Whatever you do not use stays on your account for next time. There is no monthly “use it or lose it” clock on prepaid chats.
Account credit also applies automatically. If you ever have a balance on your account, for example from switching to a smaller plan partway through a period, that credit is applied to your next invoice before your card is charged. Like prepaid chats, it never expires.
The short version: you never lose value you have already paid for, and credits are spent for you in the right order without you having to manage it.
Reading the Usage page
Sign in and open Usage to see, for the current billing period:
- Your conversation quota, how much you have used, and how much remains.
- Your AI processing headroom for the period.
- How many servers you have connected.
- Your prepaid extra-chat balance.
The page also shows what the AI has actually done for you, such as how many conversations it handled and an estimate of the support effort it covered for you, so the number you are paying for connects to real work off your team’s plate.
